Understanding Zapier Workflows
A Zap in Zapier consists of two main components:
Triggers
Triggers are events that initiate your automation workflow. Common triggers include:
- Receiving a new email with attachments
- Adding a new file to Dropbox or Google Drive
- Filling out a form or survey
- Creating a new post on social media
- Scheduling events or deadlines
Actions
Actions are the tasks performed after a trigger fires. PDF4me provides numerous actions such as:
- Converting files to PDF format
- Merging multiple PDFs
- Extracting text or data from documents
- Adding watermarks or signatures
- Compressing PDFs for storage optimization
Setting Up Your Accounts
Creating a Zapier Account
To start building PDF automation workflows, you'll need a Zapier account:
- Sign Up Options: Create an account using Google, Facebook, Microsoft, or any email address
- Free Trial: Zapier offers a 14-day free trial for multi-step Zaps
- Account Tiers:
- Free: 2-step Zaps (1 trigger + 1 action)
- Paid Plans: Up to 20+ Zaps with unlimited steps

PDF4me Account Setup
Now PDF4me has added its application in Zapier to extend its automation service. Any Basic/Pro user can access the service using tokens shown in the account page. The key can be passed to PDF4me app listed in Zapier, during verification of the account. On completing the verification, you see an email registered with PDF4me site as account name in Zapier.

Creating Your First PDF4me Zap
PDF4me currently doesn't support any triggers. Therefore, you may have to use another appropriate app to trigger your zap. As a test case, you can use Dropbox with the new file trigger.
Step 1: Choose Your Trigger
For this example, we'll use Dropbox with a "New File" trigger:

Popular Trigger Options for PDF Workflows:
- Email: New email with attachments
- Cloud Storage: New files in Dropbox, Google Drive, OneDrive
- Forms: Form submissions with file uploads
- Webhooks: Custom triggers from your applications
Step 2: Add an Action
Second step in creating a zap is 'Action'. Choose PDF4me from the list of apps displayed. Along with that, also, choose the action you would like to perform.

Step 3: Configure Your Action
After selection of the event, PDF4me app needs to verify the user. After verification, you can use the relevant fields of the previous steps to be passed onto the PDF4me action.

Step 4: Test and Review
Once all the required field are filled, test and review the settings to check if it is working. The fields like File Url, File Name, Full File Name and File Extension are available that can be used for next app.
